Payments
ActiCal’s Payments feature is designed to simplify how your organisation collects fees from participation for your activities. Integrated directly within your ActiCal Calendar, having payments enabled removes the administrative burden of tracking who has paid, allowing you to focus on delivering great activities.
The Payments functionality is configured by your organisation for your calendar. You set the payment methods, price, and your participants can easily pay through secure, integrated options.

Participant Pricing You Control
Not every participant should pay the same – and with ActiCal, they don’t have to. Your organization can define what each participant pays based on their role, group affiliation, or other criteria. Price can even be defined for non-organization members such as guests or customers. This allows you to manage fair and structured pricing across your activities.
Pricing by Group
Set different participation prices for different groups in your calendar. This allows you to adjust pricing based on membership type, group, or any other category that fits your organization’s structure.
Pricing by Participant Role
Set different prices based on the specific participation role within an activity. This lets you assign distinct prices for various ways people take part – for example, different categories of participants within the same event.

ActiCal offers several payment methods to accommodate the preferences of your participants, ensuring a smooth and reliable payment process for your users.

Swish
As Sweden’s most popular mobile payment service, Swish integration is a core part of our offering. Participants can pay instantly and securely using their Swish app. The payment is confirmed in real-time within ActiCal, automatically updating the participant’s status.

Card Payments
For participants who prefer to pay by card, Apple Pay or Google Pay we offer a secure integration with Stripe, a global leader in online payments. This allows you to accept payments from all major debit and credit cards, such as Visa and Mastercard. All transactions are processed securely by Stripe.

Offline Payments
For organisations that need to handle payments via traditional methods such as cash, ActiCal supports offline transactions.
An administrator can then manually mark the participant’s fee as ”Paid” in the system. This provides a clear record of all transactions, regardless of the chosen payment method.
Managing Refunds
ActiCal makes it easy to handle refunds – while keeping your sign up information accurate and up to date. All refund actions are managed directly from ActiCal, giving you one place to track payment status and process refunds.
Online Payments
If someone paid online (for example, using Swish or a card), you can issue a refund with just a few clicks. ActiCal takes care of the rest—making sure the money is sent back to the participant automatically.
Offline Payments
If the payment was made in person or by another method, you can still log the refund in ActiCal. After you’ve returned the money manually (like by bank transfer or cash), you just mark it as refunded in the system to keep your records up to date.
