Frequently asked questions about automatic invitations

Contact us if you can’t find the answer to your question.

Can I control when the invitations should be sent out?

Yes, you can control when invitations are sent, how many are invited at the same time and how long to wait for the RSVP.

How will the invitation be sent?

ActiCal supports both SMS and e-mail for sending invitations to users. Invites are accessible in your ActiCal Calendar as well.

When will the invitation be sent?

Invitations are sent based on the schedule you’ve set. Setup your organizations business hours and how many days before the activity the invitations will be sent out.

Is it possible to disable automatic invitations for certain activities?

Yes, you can enable or disable automatic invitations for any activity and specific roles in the activity.

What happens if someone declines an automatic invitation?

If someone declines the invitation and the role still requires someone to participate, then new invites will be send out automatically. Your organization members can see the RSVP statuses which enhances group dynamic and engagement.

Do automatic invitations respect notification preferences?

Yes. If a user has opted out of SMS or email notifications, those messages won’t be sent. However, if they’re still eligible to be invited, the invitation may still be created and made available within ActiCal. The organization members can see who has been invited and if they don’t have their notifications enabled. This opens up for a distributed way of working.

Can participants still sign up manually if automatic invitations are active?

Yes, your users are able to sign up as they wish – provided they are eligible for the role. You are able to send invitations manually as well.
