ActiCal is designed to keep everyone in your organization informed and on schedule. Our notification system ensures that participants, administrators, and organization owners receive timely updates about their activities and responsibilities.

Notification Channels

ActiCal supports three primary channels to deliver information where it’s most convenient for you:

  1. Email Notifications: This is the primary channel for most updates, such as invitations, confirmations, and automated reminders.
  2. SMS (Text Message) Notifications: For organizations with an active subscription plan that includes SMS features, urgent updates and invitations can be sent directly to your phone. This is particularly useful for participants who may not check their email frequently.
  3. Push Notifications: If you use the ActiCal mobile app (available for iOS and Android), you can receive real-time alerts directly on your smartphone or tablet.

Types of Notifications

Depending on your role within an organization and your personal settings, you may receive several types of notifications:

  • Activity Invitations: When you are invited to a new activity or assigned a specific role.
  • Sign-up Confirmations: A confirmation sent immediately after you successfully sign up for an activity.
  • Upcoming Activity Reminders: Automated reminders sent to confirmed participants approximately 24 to 48 hours before an activity begins.
  • Schedule Updates: Notifications if an activity you are involved in is cancelled, or if there is a change in your assigned role (e.g., if someone takes over your shift).
  • Administrative Alerts: Organization owners and administrators receive special notifications, such as:
    • Missing Participants: Alerts for upcoming activities that still have unfilled or unconfirmed required roles (sent 24 hours before the start time).
    • Access Requests: When a new user requests to join your organization’s calendar.
  • Payment & Refund Notifications: If your organization uses ActiCal’s payment features, you will receive confirmations for payments made and notifications if a refund is processed.

Managing Your Preferences

You can customize your notification settings for each organization you belong to.

On the Web:

  1. Log in to ActiCal and navigate to the specific organization’s calendar.
  2. Click on Settings in the sidebar.
  3. Select Notifications.
  4. Here, you can toggle Email and SMS notifications on or off according to your preference.

In the Mobile App:

  1. Open the ActiCal app and tap the Account tab.
  2. Select Notifications.
  3. You will see a list of your organizations. Tapping an organization will allow you to adjust its specific notification preferences in your mobile browser.

Enabling Push Notifications

To receive real-time push notifications on your mobile device:

  1. Download and log in to the ActiCal mobile app.
  2. When prompted, grant the app permission to send notifications.
  3. If you have previously disabled notifications, you can re-enable them in your device’s system settings under Settings > ActiCal > Notifications.

Troubleshooting

  • Not receiving emails? Check your spam or “Promotions” folder. Ensure that the email address in your ActiCal profile is correct and verified.
  • Not receiving SMS? Verify that your phone number is saved in your profile and that the organization you are part of has enabled the SMS feature (this usually requires a paid plan).
  • Push notifications not appearing? Ensure you are logged into the app and that you have granted notification permissions in your phone’s system settings.
  • Missing reminders? Note that reminders are typically sent for activities you confirmed at least 72 hours in advance. If you sign up for an activity very close to its start time, you may only receive the initial confirmation.
